E3 2019 Room Block Request

General Information:

  • All online reservation requests require a credit card guarantee.
  • Rooming lists with individual names and dates must be furnished to E3 Housing by May 8, 2019. Any unassigned rooms will be released to general sale.
  • Deadline to cancel individual reservations without penalty is May 23, 2019.
  • All reservation changes and/or cancellations must be made through E3 Housing until May 29, 2019.

    Deposit Policy:
    Credit card number required for guarantee. The credit card provided will not be charged by E3 Housing/CMR. However, your confirmed hotel has the right to charge for one night's room and tax per room after May 22, 2019. You have the option to replace the credit card guarantee with another credit card number, or with a check deposit/guarantee, once your rooming list has been provided to CMR (CMR will advise you of the deposit amount for a check deposit).

    NOTE: The credit card number provided in the reservations cannot be charged by the hotels for anything other than advance deposits, late cancellation charges, or no show penalties. Each would be in the amount of one night’s room & tax. All attendees will need to provide credit cards upon arrival to pay for any unpaid nights and incidental charges. If an attendee is not paying their own charges, then another credit card holder needs to provide written authorization directly to the hotel.

    Incidental Expenses:
    Individual guests are required to present a physical credit or debit card to their hotel at check-in to which incidental expenses (like in-room movies or room service) can be billed, even if room & tax charges were prepaid or are being paid by another party. Many hotels will place an authorization hold totaling $50.00 to $100.00 per room, per night on the individual’s credit or debit card in anticipation of incidental expenses. Actual incidental expenses incurred during the guest’s stay will be billed to the credit or debit card at check-out, and the authorization hold will be released. It usually takes between one to eight days after check-out for the authorization hold to disappear from the guest’s card statement, depending on the issuing bank.

    Hotels will accept all major credit/debit cards. Most hotels accept cash and checks, but you should check with your confirmed hotel directly prior to arrival if you will be paying by cash or check to ensure that they will accept it. Hotels reserve the right to determine which forms of payment they will accept, including cash.
